PRIVACY POLICY
How we handle your information.
This notice covers the website, optional saved-car accounts, browser cost plans, estimate requests, private confirmed-purchase journeys, and enquiries you choose to send by email, SMS or WhatsApp request forms.
THE COMPANY
Who is responsible
Japan Motor Hub LTD, company number 17466092, registered in England and Wales at 1 Grizedale Grove, Narborough, Leicester, England, LE19 3YU, is responsible for the personal information it receives through email enquiries and accepted website contact requests. For privacy questions, email Email our team.
ON THIS WEBSITE
Browsing and local features
The model search and filters run in your browser. The portal includes optional saved-car account features. Confirmed purchases and recorded journey updates are available to signed-in customers after owner confirmation. Document and payment tools are marked as planned where unavailable. If you dismiss the small-car site notice, a session-only browser preference remembers that choice until the session ends. Google Analytics (measurement ID G-SMDGH2CVWK) is off by default on public pages and loads only if you choose “Allow analytics” in the privacy prompt or through “Analytics settings” in the footer. Your choice is saved in this browser’s localStorage (key jmhAnalyticsChoiceV1) for up to 180 days. When declined or before you choose, no Google Analytics script is loaded and no analytics cookies are set. When enabled, Google Analytics uses first-party _ga cookies on japanmotorhub.co.uk to measure public page visits with advertising features, Google signals and ad personalisation disabled, and without sending URL query strings, page anchors or enquiry form contents. Private portal, cost-estimator and 404 pages do not run Google Analytics. You can change or withdraw your choice at any time via “Analytics settings” in the footer, which disables collection and clears _ga cookies.
Cloudflare delivers this version of the site and may process technical request and security information, such as an IP address, the page requested and browser details, to serve and protect it. Search terms and email-draft form fields are not submitted to a Japan Motor Hub website server. The separate SMS and WhatsApp request forms and cost-estimate request submit the details you provide to our server. Accepted requests are stored in a private owner inbox, as described below.
EMAIL ENQUIRIES
What we receive and why
The Contact page prepares a draft in your own email application. Nothing is sent to us by that form. If you choose to send the email, we receive your email address, any name, vehicle interest and message you include. We use that information to reply and discuss a possible sourcing service. For general enquiries, our lawful basis is our legitimate interest in responding to people who contact us. If you ask us to prepare a service proposal, we use the information to take steps at your request before a possible contract. We may also need to retain records to meet a legal obligation.
Your email provider sends the message, and our email provider handles the copy we receive. People authorised to deal with your enquiry may read it. Please do not send sensitive personal details or payment card information in a first message.
KEEPING INFORMATION
How long we need it
We keep received correspondence while it is needed to answer the enquiry, progress any service you request, or address a related legal obligation or dispute. These purposes, and whether you become a customer, determine the retention period. The email-draft form does not save your draft. Optional saved-car accounts, accepted website contact requests and confirmed-purchase records are handled as described below.
YOUR RIGHTS
Requests and objections
You can ask for access to the personal information we hold about you, correction, deletion or restriction where applicable. You may object to processing based on legitimate interests; please email Email our team and tell us your concern. Rights depend on the circumstances and lawful basis. There is no solely automated decision-making or profiling on this website.
You can complain to the UK Information Commissioner’s Office. Links to JDM4U, manufacturers and Wikimedia take you to separate sites with their own privacy practices.

SAVED CARS
Wishlist data
Guest choices are stored in this browser. When the wishlist service is available, a random browser-session cookie connects the list to the server for up to 30 days; it does not identify a unique person. We do not fingerprint devices. Optional Google sign-in shares the account name and email with JMH for account access; no Google Drive or mailbox access is requested. Account choices can then be read in another signed-in session. Interest summaries are private to the owner and count model interest, not orders. Guest session records expire after 30 days, with scheduled cleanup. Removing a saved model removes it from active interest counts; a deduplication record remains for the account until an account-data deletion request is handled. Contact JMH to request deletion of account data.
The interface shows whether server saving and sign-in are available.
WhatsApp contact requests
If you ask us to contact you on WhatsApp, we store the name and number you provide, your request date and your request to be contacted. We use these details to respond to your enquiry, not to subscribe you to marketing. You do not need an account to leave a request.
Your details are held in our enquiry system and are available only to the authorised owner account. Contact requests are retained for up to 180 days, unless an ongoing transaction or a legal requirement needs a separate record. You can ask us to remove your request through our contact page.
When you choose to communicate through WhatsApp, WhatsApp’s own privacy terms also apply.
Messages for an SMS reply
When you request an SMS reply, we save your name, mobile number, message, enquiry page and request time in our private contact inbox. We use them to respond personally about your enquiry, not for a marketing subscription. Access is limited to the signed-in owner. Requests are retained for up to 180 days. Sending the web form does not send a text message automatically; the owner replies manually from their messaging app. To ask about your information or its deletion, contact Japan Motor Hub using the detailed contact form.
Cost plans and estimate requests
The cost planner keeps a draft of your vehicle reference, route, any already-owned vehicle choice, entered amounts, optional VAT scenario and finance interest on this browser. In the Member Portal, the Importer Desk and Dealer & Exporter Hub workspaces similarly keep your working landed-cost figures or Digital Vehicle Passport specification in this browser’s localStorage until you choose to submit a case or dossier. If we confirm a request, the browser copy also keeps its receipt reference and whether you made later unsent changes. It does not save your reply email or free-text message in that browser draft. The displayed known-cost subtotal and VAT scenario are planning figures, not a confirmed vehicle price or tax assessment.
When you submit a request and the website confirms a receipt, we store the reply email, vehicle reference, route, whether you already own or paid for the car, itemised remaining amounts you entered, finance interest, any message, request time and source reference. The owner can read accepted requests in a private inbox. If you were signed in when you submitted, you can also see the request summary in your account portal. A guest request is not automatically linked to an account you create later. A request to discuss finance is not a credit application; this form does not ask for bank, income or credit details.
We use an accepted request to respond and prepare a possible vehicle-specific proposal at your request. Requests are retained for up to 180 days, subject to the scheduled deletion process. If a transaction proceeds or a legal obligation applies, a separate business record may need to be kept. You can ask us about access or deletion through our contact page.
Your confirmed purchase and private vehicle journey
When the journey service is enabled, an authorised JMH operator can create a purchase record after confirming the purchase and identifying your existing verified account. An estimate request does not automatically become a purchase. We store the vehicle label, its current confirmed stage, the updates written for you, update dates and the recorded update history against your account. If a purchase record is linked to an estimate, that estimate must already belong to the same account. We use this information to show you the progress of your purchase and communicate the next steps.
The record, its updates and any vehicle photograph are available only to the customer account assigned to that purchase and an authorised JMH operator. Other customer accounts cannot see them. The photograph is served through the signed-in portal rather than a public image link, and is not used in public link-preview cards. The journey illustration reflects stages entered by JMH; it does not collect GPS data or automatically track the vehicle’s location.
Adding an auction or vehicle photograph is optional. The portal upload tool resizes and re-encodes the selected image before sending it to our server, removing embedded camera metadata from the uploaded copy. Your original file remains on your device. You can replace or remove the portal photograph without removing the purchase record or its status history. Please choose an image you are entitled to use and avoid photographs containing personal documents or unrelated people.
The 180-day period for estimate requests described above does not apply to confirmed-purchase records. The journey service does not currently apply an automatic time-based deletion period to those records. You can ask about access, correction or deletion through our contact page. As with other business records, a transaction, legal obligation or related dispute may require us to keep a separate record.
BUSINESS ACCOUNTS
Your company profile and trade access review
If you create a company profile in Eternity, we store the company name, business type, country and optional website against your signed-in account. To request wider trade access, we also ask for a representative name, work phone, business contact email and either registration details or a direct-contact review route. If you leave the business email blank, we use your verified account email. These details support a personal business review; signing in, supplying a public company number or submitting a profile does not verify company authority or grant trade access.
Your company profile and access decision are visible to you and the authorised JMH owner. We record profile and access changes, review dates, the selected review method and the note shown to the applicant. The owner checks the business and representative before approving wider access. Approval does not reveal all private vehicle offers: each offer must also be shared with your particular company. We use these records to manage access, respond to your request and record business decisions. There is currently no automatic time-based deletion period for company profiles and review records. Contact JMH through the contact page about access, correction or deletion. Please do not submit passports, bank information, passwords or company registry security codes through the company profile form.
AI mascot chat
Kwita and Busia answer questions and help you contact Japan Motor Hub. Fixed contact and mascot answers can run in your browser. For other replies, your question and up to 16 recent conversation messages are sent to our Cloudflare service and Cloudflare Workers AI. Please avoid sharing sensitive personal information. AI replies may be inaccurate; our team confirms vehicle availability, quotations and arrangements.
Your transcript is kept in this browser’s session storage. “New chat” clears it. Our chat application does not save transcripts in its database; a shared budget counter stores aggregate usage reservations. Cloudflare processes service requests under its applicable privacy and service terms. WhatsApp buttons open a draft which you review and choose whether to send through WhatsApp.
Business introductions ask for your name, company or professional role, email address, a public reference link and proposal. These details remain in the current page until you choose to open WhatsApp. Opening the link shares the draft with WhatsApp; our team receives your message when you send it. This form supports manual review and does not automatically verify a person or company.
